Creating Terms of Payments That Get Fast Payments

Cash is the life blood of small businesses. Terms of payment are concerned with the time-frame of payment. In short, getting paid on time so you can pay your bills and keep your business open. 

What does getting paid on time mean? You have to define this clearly in a way that leaves no doubt about when and how you expect to be paid. 

But words you choose to use on an invoice can make it easy or difficult to get paid. You want your clients to keep coming back by creating win-win situation between you and the client. 

So how do you ensure your invoices get paid fast? 

Transparent Contracts

No one likes hidden surprises. It’s important that the client agrees with you on payment terms explained in the contract. For big projects make clear you expect first 50% of the payment before the project begins and the remaining 50% after the project has been handed over to the client. 

Professional Invoices

A professional invoice done right creates trust, removes confusion and minimizes chances that clients will question what they’ve billed for. You need to make sure the professional invoice does the following: 

  • displays your business logo, name, address, telephone, and email
  • show client details like name, address, telephone, and email
  • invoice number for tracking and communication with client
  • clearly explained line items of services you’re billing

Payment Due Dates

Be very clear about when you expect to be paid. You can write, for example,  payment due on September 30, 2021. Writing out the month and date gives a sense of urgency. It also ensures the client won’t overlook the due date.  

Explain Commonly Used Invoice Payment Terms

If you have to use payment terms like “Net 30” or “Payment due upon receipt” then an additional line explaining exactly what they mean goes a long way to avoid confusion. Even then, it is always advisable to add the exact date the payment is due.

Offer Discounts on Early Payment

Offer incentive that encourage customers to make early payments. For example, you can offer 1% to 5% discount to encourage them to pay before an invoice is due.

Be very specific about your preferred method of payment: cash, checks, credit cards, bank transfer, online payments, mobile payments, or automatic payments.

Make it convenient for your clients to pay you and you’ll be surprised how quickly they do it. Some methods you can use to make it easy for clients include:

  • integrating payment gateways like PayPal, Stripe, and more
  • asking clients about their preferred method of paying
  • adding a hyperlink of payment portal in your invoice or on the email with PDF invoice

Also understand that clients have more confidence that data and private financial information is secure when they use payment gateways like Paypal, or Stripe.
